Venue Negotiations
We have worked in hundreds of venues across Canada and have seen how venue contracts can quietly drive AV costs up. Without the right language in place before you sign, planners often find themselves locked into in-house pricing with little room to negotiate.
Key Clauses for Your Venue Contract
Before You Select Your Venue
The best time to negotiate is while you still have leverage before you sign the contract! You won’t know if you’re getting a fair deal unless you can go to market with a proper AV RFP, and that’s only possible if the following clauses are built into your venue contract.
Your Chosen AV Provider
“We may use the audiovisual provider of our choice without penalty or restriction.“
Internet Rates Locked
“We may use hardline internet at a fixed rate of $_ per day.
We may use Wi-Fi at a fixed rate of $_ per day for up to _ people.”
Designated Setup Time
“We may access the event space with our AV provider at least 5–8 hours prior to the event start time (exclusive of overnight hours between 12:00am and 6:00am). Setup access will begin at _ on _.”
